Einstellungen

In der Ansicht FakturaBeleg_Typen gibt es das Feld eDocument. Hierüber kann definiert werden, welcher Belegtyp in die Verfügbaren eDocument Formate exportieren kann.

Welche Belegtypen haben den Export aktiviert?

Der eDocument Export sollte für die Belegtypen “Rechnung” und “Proformarechnung“ aktiviert sein.

In der Ansicht Firmen und in der Ansicht FakturaBelege gibt es die folgenden Felder:

(1) Format mit der die Rechnung angelegt werden soll (Notwendig)

Verfügbare Formate

Die folgenden Export Formate werden derzeit unterstützt:

  • XRechnung (CII Format)

  • ZUGFeRD ab Version 2.0.1

Format Gültigkeit

Jedes Verfügbare Format verfügt über eine begrenzte Gültigkeitspanne. Wird diese Zeitspanne überschritten, werden die Formate nicht mehr zur Nutzung empfohlen. Da aufgrund neuer Bestimmungen notwendige Angaben noch nicht vorhanden sind oder bereits in neuen Versionen korrigierte Fehler behoben wurden.

Leitweg-ID/Käufer Referenz

Die Leitweg-ID (Buyer Reference) beschreibt die Käufer Referenz und steht als eigenes Feld zur Verfügung. Der Inhalt wird vom Rechnungsempfänger vorgegeben.

Dieses Feld gilt als Pflichtfeld für XRechnungen und muss daher gefüllt sein. 

Das Feld befindet sich wie das Feld Version in der Ansicht Firmen und in der Ansicht FakturaBelege. Die Informationen die bei der Firma hinterlegt sind, werden bei der Belegerstellung übernommen.

(3) Geschäftsprozess für PEPPOL (Optional)

Geschäftsprozess Identifier für PEPPOL

In XRechnung 3.0 wurde die Unterstützung für PEPPOL hinzugefügt. Sollten Sie PEPPOL verwenden, ist hier der vom Rechnungsempfänger angegebene Identifier anzugeben.

Sollten Sie PEPPOL nicht verwenden oder keine Angaben vom Rechnungsempfänger erhalten haben, so können Sie dieses Feld leer lassen. In diesem Falle wird der Standardwert verwendet.

Diese Einstellungen können Sie in den folgenden Ansichten vornehmen:

  • Ansicht Firmen (für alle künftigen Belege dieser Firma)

    • Standardmäßig befinden sich die Felder im Reiter Vertrieb > Sonstiges. Dies kann jedoch durch individuelle Solution Anpassungen abweichen.

  • Ansicht FakturaBelege (für aktuellen Beleg)

    • Standardmäßig befinden sich die Felder im Reiter Zusatz. Dies kann jedoch durch individuelle Solution Anpassungen abweichen.

Version aus Firma übernehmen

Sobald die eDocument Felder der Firma befüllt wurden, können diese bei allen aus der Firma angelegten Belegen automatisch übernommen werden. Dadurch müssen die Felder nicht für jeden Beleg neu befüllt werden.

Diese Funktion muss unter Umständen jedoch erst in den globalen Einstellungen der Solution aktiviert werden.

In der Ansicht FakturaZahlungsarten befindet sich zudem das Feld EN-Code. Dieses ist ein Pflichtfeld und muss passend zur Zahlungsart hinterlegt werden.

Sichtbarkeit des EN-Code Feldes

Sollte das Feld für den EN-Code nicht sichtbar sein, muss dieses vermutlich erst in der Eingabemaske der Ansicht hinzugefügt werden.

Zudem sollte das Feld EN-Code nicht mit anderen Feldern einer ähnlichen Benennung verwechselt werden. Das korrekte Feld sollte in der Ansicht als EN-Code gekennzeichnet sein. Andere Varianten wie zum Beispiel Code weißen auf ein anderes Feld hin.

Export

Nachdem die oben beschriebenen Einstellungen vorgenommen und das Format für den Export in der Ansicht FakturaBelege ausgewählt wurde, kann über die PDF-Druck Schaltfläche und die Mailversand anstelle einer PDF-Datei das gewählte Format erzeugt bzw. der E-Mail angehangen werden.

Die folgenden Dateien werden anhand der gewählten Version erzeugt:

Keine: Klassische PDF-Datei

XRechnung: Erstellung einer XML-Datei im XRechnung Format

ZUGFeRD: Erstellung einer PDF-Datei mit darin angehangener XML-Datei im ZUGFeRD Format

Invalide XML-Dateien

Nach dem Erzeugen der XML Datei, wird diese nochmals validiert. Sollte die Validierung nicht erfolgreich sein, wird der Benutzer darüber in Kenntnis gesetzt und erhält die Option das Verzeichnis mit den Validierungsmeldungen zu öffnen.

In diesem Verzeichnis befinden sich eine Protokoll-Datei mit den fehlgeschlagenen Validierungsmeldungen und die erstellte XML-Datei. Beide Dateien sind Notwendig, um die Ursache der fehlgeschlagenen Validierung ermitteln zu können.

Hinweis bei invaliden Exporten

Sollten Sie einen Export nicht korrekt durchführen können, werden die erstellte XML Datei und Protokoll-Datei benötigt.

Diese können Sie zur Analyse der Ursache an uns weiterleiten.

Häufige Gründe für invalide XML-Dateien

  • Maßeinheiten RecordId der Position nicht gefüllt

    • Der in der Position verwendete Artikel benötigt eine hinterlegte Maßeinheit bevor er als Position hinzugefügt wurde

  • Ansprechpartner im Beleg nicht gefüllt

  • Mandant nicht korrekt gefüllt (Adresse, Ort, Land, PLZ, Iban, E-Mail, Telefon, Fax, UstID, Gläubiger-ID)

  • Zahlungsart hat keinen hinterlegten EN-Code

  • Maßeinheiten hat keinen hinterlegten EN-Code

  • Unvollständige Daten (z.B. Land fehlt) in der Belegadresse

  • Käufer Referenz (Leitweg-ID) ist leer

[BR-DE-27] In BT-42 sollen mindestens drei Ziffern enthalten sein.

  • Telefonnummer zu kurz

[BR-DE-28] In BT-43 soll genau ein @-Zeichen enthalten sein, welches nicht von einem Leerzeichen, einem Punkt, aber mindestens zwei Zeichen auf beiden Seiten flankiert werden soll. Ein Punkt sollte nicht am Anfang oder am Ende stehen.

  • E-Mail enthält ungültiges @ Zeichen

Mandate reference MUST be provided for direct debit.

[BR-DE-29] Wenn "DIRECT DEBIT" BG-19 vorhanden ist, dann muss "Mandate reference identifier" BT-89 übermittelt werden.

[BR-DE-16] Wenn in einer Rechnung die Steuercodes S, Z, E, AE, K, G, L oder M verwendet werden, muss mindestens eines der Elemente "Seller VAT identifier" (BT-31), "Seller tax registration identifier" (BT-32) oder "SELLER TAX REPRESENTATIVE PARTY" (BG-11) übermittelt werden.

[BR-S-02]-An Invoice that contains an Invoice line (BG-25) where the Invoiced item VAT category code (BT-151) is "Standard rated" shall contain the Seller VAT Identifier (BT-31), the Seller tax registration identifier (BT-32) and/or the Seller tax representative VAT identifier (BT-63).
